How to export your client list from GlossGenius

To export your GlossGenius clients, sign in through a web browser as the account owner, open Clients and select Export Clients. You’ll get a CSV file. Client notes are not included, so request those separately from support. GlossGenius’s official export guide confirms the steps.

Your contact list is a useful starting point. If you’re moving systems, make a separate plan for the details that help you look after each client, including their notes and next appointment.

Download your GlossGenius client CSV

  1. Sign in through a web browser using the owner account.
  2. Open Clients.
  3. Select Export Clients.
  4. Save the CSV that downloads.

GlossGenius documents this export on every subscription plan, with browser access and account-owner permissions. Export requirements.

Save an untouched copy before preparing the file for another system. For example, you might name it glossgenius-clients-2026-09-05-original.csv, using your actual export date.

What does the CSV include?

The documented fields are name, email, phone, date of birth and banned status. Client notes require a separate support request. Source: GlossGenius.

Check those fields against a few familiar client profiles. If someone has no email address in the original record, a download won’t fill that gap for you.

Keep the banned-status field in your original file and discuss it with the migration team. You’ll want to decide how any booking restrictions should work in the new system.

Export your past GlossGenius appointments

We recommend exporting your full appointment history, from your first recorded booking onwards. This lets you keep your historical data, as well as your current client list. Include all future bookings too, using a separate export or support request where needed.

On a computer

  1. Sign in to GlossGenius in a web browser.
  2. Open Insights → Reports from the left menu.
  3. Choose Appointments.
  4. Select All to include your full available appointment history. If using Custom, start at your first recorded appointment.
  5. Choose the option to download the report to your device. You can also email it to your account address.
  6. Save the appointment spreadsheet alongside your client CSV.

On the mobile app

  1. Open Features → Reports.
  2. Choose Appointments.
  3. Select All to include your full available appointment history.
  4. Tap Email Report.
  5. Open the email sent to your GlossGenius account address and save the report.

For a team account, choose the relevant staff member or all staff before running the report. These report-download routes are available across subscription plans. Source: GlossGenius’s report-download instructions.

Request future bookings and client notes

  1. Open Settings → Support in the GlossGenius mobile app, or use the support contact form.
  2. Request your client notes, which are missing from the contact CSV, and ask for all future appointment records.
  3. Include your business name and account email. Ask for client references so notes and appointments can be matched to your contacts.
  4. Use the formal request below and ask support to confirm the delivery date and explain any exclusions.

GlossGenius confirms that support can provide client notes. We could not verify a self-service file export for future bookings. Download your reports before pausing or cancelling, as GlossGenius says reports become unavailable once the account is paused, cancelled or disabled. What if you’re on a team account?

Team members cannot export client lists themselves. GlossGenius says support normally limits members with Client Permissions to clients they have seen. The account owner must contact support to request full-list access for a team member. Team export rules.

If you’re leaving a shared business, agree which records you’re authorised to take with the account owner before requesting them. A new booking system doesn’t change that permission.

Your right to request your client data

If you run your own hair or beauty business in the UK or EU, you normally control the client records you keep for that business. GDPR calls you the data controller. You can use the export steps or request below to ask for a copy for your records or to test software.

If you later end the service, both UK GDPR and EU GDPR require your contract to let you choose the return of the client data GlossGenius handles on your behalf. Article 28(3)(g) sets out this protection in both laws. UK guidance: ICO, EU GDPR: Article 28.

Request a structured, commonly used and machine-readable format, such as CSV for contacts and appointments. In plain English: files you can keep or use with other software, with notes and attachments linked to the right client.

The legal protection above applies where UK GDPR or EU GDPR covers the processing. The export steps and data-request template can also be used for US accounts.

Use this to request a copy of your data. Replace the brackets before sending.

Check appointments and other records before switching

Keep your client CSV and past-appointment report together. Add the client notes and future-booking records supplied by support, then check that each record can be matched to the right client.

Deposits or balances Agree how you will track money already paid or still owed.

For a diary check, pick a full working day. Compare each appointment’s client, service, start time and duration. Also check a booking several months ahead so the end of your export range doesn’t catch you out.
