How to export your client list from Fresha

To export your Fresha client list, open Clients, then Clients list, and choose Options on desktop or Actions on mobile. Download an Excel or CSV file. Sign in with the account that owns your business. Export your appointments separately using the steps below. Source: Fresha.

Whether you’re making a backup or moving your business, start by saving the original export somewhere private. Keep that copy untouched. You can make a second copy for any changes your new booking system needs.

Export your Fresha clients on desktop

  1. Sign in to Fresha with the account that owns your business.
  2. Open Clients → Clients list.
  3. Choose Options at the top right.
  4. Select CSV or Excel and save the download.

Export your Fresha clients on mobile

  1. Open Clients from the bottom menu.
  2. Tap Actions, the three dots at the top right.
  3. Choose CSV or Excel and save the file.

Both methods follow Fresha’s current instructions.

What should you check in the download?

A file can open perfectly and still be missing something you need. Check the records that matter to your business.

Client coverage The list covers the people you meant to export, including less frequent regulars.
Contact details Names, phone numbers and email addresses match the original profiles.
Phone formatting Leading zeros and international prefixes have stayed intact.
Marketing preferences Keep the original opt-in and opt-out values.
Notes and other records Check the actual columns before assuming every note or attachment is there.

Fresha documents two marketing-preference columns: Accepts marketing and Accepts SMS marketing. Preserve them when preparing your new file. Fresha’s marketing-preferences guide confirms these fields.

There’s also a useful distinction with notes. Fresha says staff alerts appear in the export’s Notes column. That does not establish that every treatment note, form or photo comes with it. See Fresha’s staff-alert guidance.

For example, if a client has a colour formula, a patch-test record and a photo, check each one. Finding their phone number in the spreadsheet is only part of the job.

Export your Fresha appointments

We recommend exporting your full appointment history, from your first recorded booking onwards. This lets you keep your historical data, as well as your current client list. Include all future bookings too, using a separate export or support request where needed.

Your client spreadsheet and your appointments are separate downloads. Use a desktop browser for these steps.

  1. Sign in to Fresha and open Appointments list. This direct link opens the list in your Fresha account.
  2. Clear any client name or appointment reference from the search bar if you want bookings for all your clients.
  3. Set the date filters from your first recorded appointment through today to include your full appointment history. Review any other filters so they do not exclude bookings you need.
  4. Click Export in the top right.
  5. Choose CSV or Excel and save the file.
  6. Repeat for your future bookings: choose a range from today through your last scheduled appointment, then export again.

Fresha also offers PDF, but CSV or Excel is more useful for moving appointment data. To export just one client’s appointments, enter their name in the search bar before exporting. Source: Fresha’s appointment-export instructions.

Open both files and compare a busy day with your diary. Check each client, service, date, start time and duration. Check an appointment near the end of the future date range too.

A booking export does not prove that every note, deposit or balance is included. Use the request below for any missing records. Saved payment-card details cannot be exported or transferred. Source: Fresha.

Can’t find the client export option?

First, check that you signed in with the account that owns your Fresha business. Can download clients is a setting inside Fresha that controls team access to the download. It is not a request for Fresha to approve your move.

If you use a separate team login, the owner can check the setting on desktop:

  1. Open Settings → Team → Permission roles.
  2. Find the role assigned to that login, then select Actions → Edit.
  3. Check its client-access settings and enable Can download clients if that login should have export access.
  4. Save the change, then return to Clients → Clients list → Options.

A role change affects everyone assigned to that role. If you work alone, using your owner login is the simplest starting point. If the export is still missing, send the request below. Sources: Fresha’s export permissions and role settings.

Your right to request your client data

If you run your own hair or beauty business in the UK or EU, you normally control the client records you keep for that business. GDPR calls you the data controller. You can use the export steps or request below to ask for a copy for your records or to test software.

If you later end the service, both UK GDPR and EU GDPR require your contract to let you choose the return of the client data Fresha handles on your behalf. Article 28(3)(g) sets out this protection in both laws. UK guidance: ICO, EU GDPR: Article 28.

Request a structured, commonly used and machine-readable format, such as CSV for contacts and appointments. In plain English: files you can keep or use with other software, with notes and attachments linked to the right client.

Fresha’s Data Protection Addendum confirms its role for your business’s Partner Client Data. It allows up to 30 days after the agreement or services end to download that data. Get your files and check them before cancelling.

A formal data request you can send

Send this from your account email to [email protected], copying [email protected] for the data-protection query. Fresha publishes both contacts in its privacy policy.

Use this to request a copy of your data. Replace the brackets before sending.
