How to export your clients from Ovatu and check your bookings
In the current Ovatu web app, open Customers, check your filters, select the clients and use the CSV export action. If you use Ovatu Classic, the route is Customers → List → Export as CSV. Bookings need a separate check, and the instructions differ between versions. Current guidance, Classic guidance.

Export clients in the current Ovatu web app
- Open Customers from the left menu.
- Review your filters. Clear any that exclude clients you want to keep.
- Use the top checkbox beside First name to select the displayed list.
- Choose the action to export the selected list as a CSV.
Ovatu’s customer-filtering guide confirms that the export follows the filtered selection.
If you only want a particular group, filters are useful. If you want your whole client base, check that an old search or segment isn’t quietly leaving people out.
After downloading, compare the number of client records with the list you intended to export. Keep the original file before changing column names or removing anything.
Export clients in Ovatu Classic
- Sign in to the Classic web app.
- Open Customers → List.
- Click Export as CSV.
- Save the client file without editing the original.
Export appointments in Ovatu Classic
We recommend exporting your full appointment history, from your first recorded booking onwards. This lets you keep your historical data, as well as your current client list. Include all future bookings too, using a separate export or support request where needed.
- In the Classic web app, open Customers → List.
- Click Export Reservations as CSV. Ovatu uses “reservations” for these appointment records.
- Save the file alongside your client export.
- Open it and check that it covers your full available history and all future bookings. Compare the earliest recorded appointment and your furthest future booking with your diary.

Get your appointments from the current Ovatu app
For the current app, request the same full appointment history. Start by checking the records:
- Open Reports → Appointments.
- Select Edit filters.
- Set Dates to Custom and choose a range from your first recorded appointment through today.
- Review Appointment status and any employee or customer-segment filters.
- Apply the filters and select View appointments below the graph to see the individual bookings.
- Repeat for future bookings, using an end date that reaches your last scheduled appointment.
This report does not include sales or payment data. We could not verify a complete appointment-file export sequence for the current app. Email [email protected] using the request below and ask for the individual appointment records, rather than a summary of appointment totals. Your right to request your client data
If you run your own hair or beauty business in the UK or EU, you normally control the client records you keep for that business. GDPR calls you the data controller. You can use the export steps or request below to ask for a copy for your records or to test software.
If you later end the service, both UK GDPR and EU GDPR require your contract to let you choose the return of the client data Ovatu handles on your behalf. Article 28(3)(g) sets out this protection in both laws. UK guidance: ICO, EU GDPR: Article 28.
Request a structured, commonly used and machine-readable format, such as CSV for contacts and appointments. In plain English: files you can keep or use with other software, with notes and attachments linked to the right client.
If you later decide to leave, note that section 10 of Ovatu’s published Data Processing Schedule sets a short window: request return in writing within five days after processing services end. It provides for secure transfer in a reasonably requested format. Ask Ovatu to confirm the terms and handover date for your account.
A formal data request you can send
Email [email protected] from your account email. State whether you use current Ovatu or Classic.
Use this to request a copy of your data. Replace the brackets before sending.
Export one client’s records in the current app
- Open Customers.
- Select the client’s name.
- Open More.
- Choose the option to export that customer’s data.
- Check the resulting file and confirm which records it contains.
Use this for a specific client’s records, rather than as a substitute for requesting your whole appointment file. Source: Ovatu’s customer-profile guide.
Before importing into another system
Keep the client list, booking records and financial records separate until the migration team has reviewed them.
Check a handful of clients with different histories: a new client, a long-time regular and someone with a future appointment. Confirm their contact details, then check the booking date, time and service independently.
If you use deposits, passes or gift cards, agree how any outstanding value will be recorded. Don’t infer a payment from an appointment’s listed price.
Keep track of changes made after the export too. If a client reschedules while you’re preparing the move, the saved file won’t reflect that change automatically.
